Terms and Conditions
All orders must be placed in writing via email to email@example.com along with any subsequent amendments. If we, The Kent Event Hire Company (TKEH), have any queries, we will contact the Client. We will email
the Client the full details of the order along with a breakdown of the quotation/invoice. It is the Client’s responsibility to read the order details in full and notify us of any discrepancies. It is essential that the Client notifies us with any changes no later than 14 days prior to delivery and we will endeavor to accommodate them.
Payment and Hire Period
To confirm your booking a 50% (non-refundable) deposit of the full invoice is required by BACS, quoting invoice number as reference. Santander bank account; account number 81552956 and sort
code 09-01-28. This will reserve the equipment as detailed in the quotation/invoice for the date specified.
The balance is due in cleared funds, 14 days before delivery by us or collection by the Client. All prices quoted are subject to VAT. We do not accept cash, credit cards or cheques.
Weekday(s) hire is quoted for one day/night only; weekend hire counts as one day. ALL PRICES INCLUDE WASHING UP. Please note there is a minimum order from May to September of £250 (ex VAT & delivery); October to April all orders under £150 (ex VAT & delivery) will incur an additional small order surcharge.
Cancellation of a confirmed order made between booking and 21 days prior to the event is subject to a charge of 50% of the total quoted hire charge. Cancellation within 21 days is subject to 100% of the quoted hire charge.
Delivery/Collection and Condition of Goods
For weekend events we will usually deliver on Thursday or Friday and collect on Monday or Tuesday. Weekend deliveries/collections may be possible, for an extra charge. The quote for delivery/collection assumes easy access with no steps or distances over 10m to cover. It is the Client’s responsibility to inform us of any obstacles or obstructions at the venue prior to the date of the event. Any such obstacles or obstructions that hinder delivery will incur extra charges with a minimum charge of £20 for the first 30 minutes and a subsequent charge of £30 per hour thereafter. If there are any steps and heavy equipment,
we may need to call in extra staff, which will incur additional charges of £15 per hour per person and a further £1/mile each way for any additional mileage to transport staff to the delivery address.
All items must be placed at a single identifiable area at the venue ready for our collection. An additional charge will be incurred for any items that we are not made ready for collection or not left in the designated collection area. Tables must be collapsed and stacked, and chairs must be stacked and seat pads placed back in the clear plastic sacks, as delivered. However, we are able provide this service at an
extra cost, please let us know if you would like us to quote for this.
All items will be delivered clean and undamaged and collected in a “used for purpose only” condition.
All shortages or breakages, including chipped or cracked items, or damage to the mechanical or workings
of equipment, returned to TKEH will be charged at the replacement or repair cost, including admin charge. Replacement or substitute goods made by The Client will not be accepted and The Client will still be charged for the item.
All goods must be returned in their original packaging and plates must be scraped of food and glasses must be emptied. Cutlery is delivered in small plastic boxes and must be packed and returned in the same boxes with weight distributed accordingly (please note that cutlery must be returned in the small plastic boxes only and the boxes must be liftable.)
Any goods owned by The Client and left in the designated area for our collection may be brought back to our offices and it is the responsibility of the client to collect, by arrangement with TKEH. We reserve the right to dispose of them after one month. We will notify The Client of any shortages or damaged goods received back by TKEH within 7 working days of collection. All timings stated or indicated for delivery or collection are approximate. Collection by The Client is sometimes possible by prior agreement with us.
Linen hire includes the cost of standard laundry. Linen must be returned dry and shaken clean of debris before being placed back in the linen bags. Damp or wet linen can be damaged by mildew when stored and any such damage that cannot be removed by straightforward cleaning will be charged at the replacement cost of each item. If specialist cleaning is required, the Client will be charged for this.
Responsibility of Client
The Client is responsible for the goods from the point of delivery, or collected by the client, and ends when the goods have been returned to or collected by TKEH. The Client’s responsibilities include the safe keeping and storage of the goods against the elements, theft, vandalism or improper use. The Client is responsible for the return of goods or making clear arrangement with TKEH for the collection of goods at the end of hire.
The Client must notify TKEH by phone of any issues with the order within 12 hours of receipt of delivery. If the Client asks us to make an additional delivery for items they have forgotten or miscounted, an extra charge will be made for time and mileage.
Right to Substitute Goods
TKEH reserves the right to substitute any goods with a similar item and size should the original choice of goods not be available.
TKEH will not be responsible or liable for any injury, accident or damage caused through the misuse of goods/equipment suppliedWe will not be liable for any delays caused by any circumstances beyond our reasonable control. All goods remain the property of The Kent Event Hire Company.
